Volunteer Driver

We recognize volunteers make valuable contributions to the District’s schools and enhance learning opportunities

Before continuing, please gather the REQUIRED items

All drivers must upload a copy of your driver license (front only)

If you wish to transport students in a personal-owned automobile, you must also upload insurance policy declaration pages, NOT a copy of your insurance card, with the following information:

  1. Insured name(s)
  2. Insurance carrier
  3. Effective dates of coverage
  4. Policy number
  5. Minimum policy limits of 100/300/50 ($100,000 bodily injury per person/$300,000 bodily injury per accident/$50,000 property damage)

Please note applications without a driver’s license uploaded will be deleted.

 Requirements of All Volunteer Drivers

  • Be an approved SJCSD volunteer, employee or adjunct coach 
  • Possess a valid driver’s license
  • Ensure all students wear seat belts
  • The number of students transported will be limited by the specified capacity limits and corresponding seat belts provided
  • Must have the names and phone numbers of all passengers
  • Vehicle must be in good repair  

Do:

  1. Be Punctual
    • Arrive early to allow time for loading and introductions.
  2. Follow All Traffic Laws
    • Obey speed limits, stop signs, and use turn signals at all times.
  3. Ensure Vehicle Safety
    • Confirm the vehicle is roadworthy (tires, brakes, lights, seatbelts all working).
  4. Use Seat Belts
    • Ensure every passenger, including yourself, is wearing a seatbelt before driving.
  5. Keep Emergency Contacts Handy
    • Have a list of emergency contacts for each student and the organization.
  6. Drive Defensively
    • Anticipate others’ mistakes and maintain a safe following distance.
  7. Stay Focused and Alert
    • Eliminate distractions and take breaks if feeling tired.
  8. Communicate Clearly
    • Introduce yourself, state the route, and let students know expectations (e.g., no loud music, stay seated).
  9. Respect Privacy
    • Keep any information about students confidential.
  10. Stay Calm and Polite
    • Model courteous behavior behind the wheel.

Don’t:

  1. Don’t Use a Phone While Driving
    • No texting, calling, or using apps without hands-free devices.
  2. Don’t Speed or Drive Aggressively
    • Avoid tailgating, weaving, or sudden braking/acceleration.
  3. Don’t Transport Extra People
    • Only drive the students you’re assigned and never exceed vehicle capacity.
  4. Don’t Make Unscheduled Stops
    • No detours or stops unless pre-approved or in case of emergency.
  5. Don’t Allow Unsafe Behavior
    • No standing, switching seats, or distracting the driver during the ride.
  6. Don’t Leave Students Unattended
    • Always wait until students are safely handed off to a responsible adult or reach their destination.
  7. Don’t Drive Under the Influence
    • Never drive under the influence of alcohol, drugs, or strong medications that impair ability.
  8. Don’t Discuss Inappropriate Topics
    • Avoid political, religious, or personal conversations that could make students uncomfortable.
  9. Don’t Assume Permission
    • Always follow the organization’s policies on consent forms, pickup/drop-off locations, and behavior guidelines.
  10. Don’t Forget to Report Incidents
    • Ensure you know what to do if an incident occurs and report it as soon as

When Transporting Students in Vehicles Rented Through SJCSD

  • Covered through District Automobile Insurance
  • Personal Automobile Insurance policy limits are not necessary and do not have to be provided

When Transporting Students in Personal-Owned Vehicles

  • Personal Automobile Insurance is primary
  • Driver assumes personal financial liability and is responsible for loss and accidental damage to his/her vehicle should an incident occur
  • Provide Policy Declaration Page(s) (NOT an insurance card):

Completion of a new request is not required each year.  Once you’re approved and added to the approved volunteer driver database you remain approved until your auto insurance expires or your driver license expires.

You will receive an email 30 days prior to the expiration of and again upon expiration of your auto insurance and your driver license.  Once you respond to that email request with updated auto insurance declarations page(s) or an updated driver license, you will remain approved.

Please note:  You are not approved to transport students in a vehicle rented through St. Johns County School District or your personal-owned vehicle until you receive an approval email from [email protected].  If you haven’t received an email within five (5) business days of application submittal, please check your SPAM folder.
